Official document archiving and verification system

Abstract

A document archiving and verification system is applicable to the online archiving of documents approved by government agencies. It includes a verification rule data storage unit, a receipt verification module, a cataloging verification module, and an archiving processing module. The receipt verification module responds to archiving requests from the operator's terminal, retrieves the document data from the online document approval system, compares the receipt fields of the document data with the verification rule data, and generates receipt verification result data. When the receipt verification passes, the cataloging verification module compares the cataloging fields of the document data and generates cataloging verification result data. When the cataloging verification passes, the archiving processing module assigns a volume number and a table of contents number, generating archiving completion data. If the receipt verification fails, a receipt error message is generated; if the cataloging verification fails, a cataloging error message is generated and output to the operator's terminal.

Claims

1. A document archiving and verification system applicable to the online signing and archiving of official documents by government agencies, the document archiving and verification system comprising a plurality of hardware modules or hardware units composed of a plurality of hardware circuits, the hardware modules or hardware units comprising: a verification rule data storage unit storing a plurality of verification rule data, each verification rule data including a file classification data and a retention period distinction data; a point-of-acceptance verification module, signal-connected to the verification rule data storage unit, configured to respond to an archiving request from a staff member's operating terminal, retrieve an official document from an online signing and verification system, and, based on the verification rule data stored in the verification rule data storage unit, compare a plurality of point-of-acceptance fields of the official document to generate point-of-acceptance verification result data, the point-of-acceptance verification result data including a point-of-acceptance judgment result and at least a point-of-acceptance field verification status; A cataloging verification module, signal-connected to the acceptance verification module and the verification rule data storage unit, is configured to receive the document when the acceptance judgment result indicates that the document has passed the acceptance verification, and compare multiple cataloging fields of the document according to the verification rule data stored in the verification rule data storage unit to generate cataloging verification result data, which includes a cataloging judgment result and at least one cataloging field verification status; and an archiving processing module, signal-connected to the cataloging verification module, is configured to receive the document when the cataloging judgment result indicates that the document has passed the cataloging verification, assign a volume number and a table of contents number, and generate archiving completion data; wherein. When the receipt and inspection module indicates that the document has failed the receipt and inspection, it generates a receipt error message and outputs it to the operator's terminal. When the cataloging and inspection module indicates that the document has failed the cataloging and inspection, it generates a cataloging error message and outputs it to the operator's terminal.

2. The document archiving and verification system as described in Request 1, wherein the plurality of receiving fields include a classification number field, a retention period field, an approval status field, and an attachment status field.

3. The document archiving and verification system as described in Request 1, wherein the plurality of cataloging fields includes a subject field, a file number field, a document type field and a document creation date field.

4. The document archiving and verification system as described in Request 1, wherein the error message received and the error message cataloging each contain field identification information for at least one failed field.

5. The document archiving and verification system as described in Request 1, wherein the point-of-receipt verification module executes the acquisition of the document data in response to an operation command from one of the operator's terminals.

6. The document archiving and verification system as described in claim 1, wherein the verification rule data stored in the verification rule data storage unit is pre-established in the document archiving and verification system.
