[0001] TRANSPORTATION COST AND PRICING CALCULATION
[0002] Technical Field
[0003] This patent application focuses on developing innovative methods and systems for calculating and analyzing transportation and freight costs. Its aim is to provide solutions that enable more efficient and effective calculation and analysis of transportation and freight costs. This system, with a wide range of applications, covers both freight an shipping charge calculations. The transportation cost calculation includes processes of calculating transportation cost, freight cost, and analyzing these costs. Shipping charge calculation, on the other hand, comprises processes of calculating and analyzing freight and freight rates. This application is designed to standardize and optimize cost calculation and analysis processes in the transportation industry.
[0004] Prior art
[0005] In the transportation sector; there is a need to calculate transportation costs and transportation prices based on real data. It is important to calculate the transportation cost accurately with real data. Actual trasnportation costs include many parameters from the load to be transported, transportation route, weather conditions to personnel costs. Incases where the actual trasnportation cost is not calculated correctly, vehicle owners face the risk of loss in their business. On the other hand, realistic transportation prices can not be determined due to the inability to calculate real transportation costs.
[0006] In the prior art, costs and transportation prices are determined by making a rough calculation based only on the fuel cost by looking at the distance. Cargo carriers or shippers determine the transportation price by looking at their counter in the market, and accordingly, the transportation price is given or the work is accepted.
[0007] Companies determine the transportation price by looking at the data on past transportation registered with them. However, there may be difficulties in determining the price because there are no or few precedents for places with rare or few transportation. In addition, when fuel prices change frequently or the inflation rate is high, it is very difficult to set a transportation price at times of high cost fluctuations.
[0008] Even in ideal circumstances where the above-mentioned parameters are provided correctly, many transportation parameters such as tax, seasonal conditions, transportation route, start and end destinations of the transportation route, etc. are ignored and the actual transportation cost cannot be calculated.
[0009] In the known state of the art, there are digital platforms that aim to bring cargo owners and carriers together. For example;
[0010] Patent / Appliction number WO 2016 / 133596 decribes a system and method for contacting transportation service providers and obtaining quotes with information such as load and delivery information. The transportation price must be agreed upon by contacting each other.
[0011] Patent / Appliction number US 2017 / 0132532 is also related to a portal that brings carriers and cargo owners together. Here, carriers register certain preferences in the system, and cargo owners can see and contact carriers close to the cargo according to their own criteria. Carriers make offers and cargo owners can choose between offers.
[0012] Patent / Application No. US 2005 / 278063; described here as a dynamic system and method for making the closest and most appropriate matches among a large number of cargoes and containers and a large number of carriers. Here, past transportation price information is used to rank the suitability.
[0013] Patent / application US 2003 / 084125, described herein as a system and method relating to communication systems and methods for matching shippers' demands with carriers' capacities.
[0014] Patent / Application US 2016 / 203440, describes a system and method for automating the matching of senders and carriers for shipment.
[0015] In previous systems and methods, real transportation costs and prices can not be calculated based on real and up-to-date data. The Aim of the Invention
[0016] The main purpose of the invention is to calculate the transportation / freight cost based on real data by entering and saving cost informatioon from web and mobile applications and interfaces, calculation inputs entered in the calculation step, special algorithms and special calculation methods.
[0017] Another purpose of the invention is to calculate a realistic transportation price according to the actual transportation cost calcuated with the developed method.
[0018] Another purpose of the invention is to calculate the values of indices based on real data for the parameters affecting the cost and price of transportation by users entering their transportation / freight information.
[0019] A further purpose of the invention is to provide a method whereby users can intervene in some of the calculation parameters, and which can be customized according to the user.

[0051] Transportation / Freight Cost Calculation Process Detail and Steps;
[0052] Expense entries(5) step: This is the step where the actual expense costs of the vehicle are recorded before the calculation. In the expense entries(5) step, at least one of the details provided below is recorded into the system, including the vehicle plate number / name, vehicle type / tire count, average fuel consumption, tire lifespan, tire price, taxes, insurance, cargo insurance, vehicle inspection fee, battery price, periodic battery replacement period, periodic breakdown maintenance oil change, periodic vehicle owner insurance, periodic meal expenses, periodic driver salary, periodic driver allowance, periodic other expenses, customs expenses, and depreciation expenses.
[0053] A detailed description of each expense entry is provided below.
[0054] - Vehicle plate number / vehicle name etc. : In the calculation step, the plate number or name of the vehicle will be recorded to enable calculation by selecting the vehicle. Multiple vehicle records can be created, allowing for calculation of transportation costs or freight prices specific to each vehicle. Calculation can also be facilitated by selecting the existing registered vehicle type.
[0055] - Vehicle type / number of tires: The vehicle type is recorded for the number of tires. The number of tires will be obtained from the database based on the vehicle type. Instead of the vehicle type, the data for the number of tires can also be recorded.
[0056] - Average Fuel Consumption : The average fuel consumed by the vehicle per 100 km (e.g., Liters / 100 km) will be recorded. It will be used to calculate the fuel cost per trip based on the trip distance. Fuel consumption rate can be entered during the calculation step without being recorded in the database. Alternatively, this data can be entered during calculation without being recorded in the database.
[0057] - Tire Lifespan (Km): It will be used along with tire price to calculate the tire cost per trip.
[0058] - Tire Price: It will be used along with tire lifespan to calculate the tire cost per trip. Instead of tire lifespan and tire price, the cost per km of tires can be recorded for calculation.
[0059] - Tax: The annual tax amount according to the country where the vehicle is located (e.g., Turkey - Motor Vehicle Tax) will be recorded. It will be used to calculate the tax cost per trip considering the trip duration. The trip duration will be calculated based on the inputs and used in cost calculations.
[0060] - Insurance: Mandatory or optional insurance records made according to the country where the vehicle is located will be recorded (e.g., Mandatory Traffic Insurance in Turkey, optional Comprehensive Insurance). It will be used to calculate the insurance cost per trip considering the trip duration. - Cargo Insurance: Taking into account the journey duration, the cost of cargo insurance per journey will be used in the calculation.
[0061] - Vehicle Inspection Fee: If applicable in the country where the vehicle is located, the total inspection expenses (e.g., Inspection Fee and Exhaust Inspection) will be taken as the vehicle inspection fee. Considering the journey duration, the cost of vehicle inspection per journey will be used in the calculation.
[0062] - Battery Price: If there are multiple batteries in the vehicle, the total battery price will be recorded. Along with the battery replacement period, the cost of battery per journey will be used in the calculation, taking into account the journey duration.
[0063] - Periodic Battery Replacement Interval: It will be recorded how often the vehicle's batteries are replaced and how many months / years they are used. Along with the battery price, the cost of battery per journey will be used in the calculation, taking into account the journey duration.
[0064] Instead of battery price and battery replacement interval, calculation can be made by recording annual battery expense or monthly battery expense.
[0065] - Periodic Malfunction Maintenance Oil Change: Expenses related to periodic (e.g., monthly, yearly, etc.) malfunctions, maintenance, repairs, and oil changes of vehicles will be recorded. Taking into account the journey duration, the cost of periodic Malfunction Maintenance Oil Change per journey will be used in the calculation.
[0066] - Periodic Vehicle Owner Insurance: Depending on the country where the vehicle is located and the insurance the vehicle owner has (e.g., SGK-Bagkur), insurance costs will be recorded. Vehicle owners' periodic (e.g., monthly, yearly, etc.) insurance payments will be recorded. Considering the journey duration, the cost of periodic insurance for the vehicle owner per journey will be used in the calculation.
[0067] - Periodic Meal Expenses: Periodic (e.g., daily, monthly, etc.) meal expenses will be recorded. In cases where the driver is not present, average periodic meal expenses will be recorded. If there is no driver and the vehicle owner uses the vehicle themselves, daily meal expenses will be recorded. Taking into account the journey duration, the cost of Average Periodic Meal Expense per journey will be used in the calculation if there is no driver.
[0068] - Periodic Driver Salary: In cases where there is a driver, the driver's salary (gross or net) will be recorded. Taking into account the journey duration, the cost of periodic (e.g., monthly, yearly, etc.) driver salary per journey will be used in the calculation.
[0069] - Periodic Driver Allowance: If a driver receives periodic (e.g., daily, monthly, etc.) allowances or meal expenses separately when they are driving, the periodically paid amount will be recorded. Considering the duration of the trip, the periodic driver allowance cost per trip will be used in the cost calculation.
[0070] - Periodic Other Expenses: The total of periodic (e.g., monthly, yearly) expenses such as accounting, freight commission, parking, washing, etc., will be recorded. Taking into account the duration of the trip, the cost of Periodic Other Expenses per trip will be used in the cost calculation. Alternatively, individual expenses can be recorded.
[0071] - Customs Expenses: Customs expenses required to be paid according to the legal regulations of the relevant country in international shipments can be included in the calculations.
[0072] - Depreciation Expense: In cases where there is depreciation expense in the country where the vehicle is located, the annual depreciation amount of the vehicle is calculated. The calculated depreciation expense can be used in freight cost calculations or freight price calculations.
[0073] For a more realistic and accurate cost calculation, all of these items can be included in the calculation, or some may be excluded; some may be detailed and recorded separately in separate items; some may be grouped and recorded as annual or monthly expenses in a single trip. Calculation formulas will vary depending on the expense data entry types.
[0074] Periodic expenses can be left to the user's discretion for data entry, allowing users to determine periods such as day, month, year.
[0075] To ensure accuracy and currency of the calculation, these expense items are updated when requested by users. The expense items mentioned above are also readily available in the database based on the type of vehicle, following market research. Users have the option to calculate transportation costs or freight prices using the ready-made data if they wish. Therefore, users can either create these expense items themselves, update existing data, or use the available data.
[0076] Calculation Inputs(Step 6): This step involves saving the calculation inputs of the vehicle. In step 6 of calculation inputs(6), at least one of the following details, as described below, regarding the vehicle type / vehicle plate / vehicle name, distance in km, cargo amount (tonnage) (tons), average fuel consumption per 100 km, transportation duration, toll fees, current fuel price, and distance to truck garages at the destination, is recorded in the system.
[0077] A detailed description of each calculation input information is provided below:
[0078] - Vehicle Type / Vehicle Plate / Vehicle Name: The vehicle for which the calculation will be made is selected from among multiple registered vehicles. Ready-made data in the database can be used, or users can use their own data.
[0079] - Distance Km : Calculation can be made by entering the distance between loading and unloading points in km. Here, calculation can be made based on the distance between these two locations by entering city and district information from where to where. Alternatively, calculation can be made based on the distance between these two locations calculated from the map by entering location information. One or more of these options can be selected for data entry.
[0080] Distance information can also be taken as the sum of the distance from the location to the load and the distance from the load to the destination. When distance from location is requested, if the application has permission to access location, the distance from the location can be automatically calculated.
[0081] - Cargo Amount (Tonnage) (Ton): Fuel consumption ratios of heavy-duty transport vehicles can vary when empty and loaded. Therefore, a proportional calculation is made between empty and loaded rates based on the cargo amount. This calculation is made for more accurate and realistic results. Calculation can also be made by taking the general average without cargo amount.
[0082] Cargo amount can be specified in units other than tons. - Average Fuel Consumption of the Vehicle per 100 Km (Liters / 100 Km): If there is recorded information in the database, calculations can be made based on this. The information retrieved from the database can be modified during data entry according to road conditions and the condition of the vehicle. Calculation can also be performed by entering data here without keeping records in the database. The fuel average will be taken proportionally between empty and full based on the load amount. Calculation can also be done based on the overall average fuel rate regardless of the load amount.
[0083] - Transportation Time(Days): The approximate duration of transportation is calculated with a reasonable kilometer for a day's travel according to national and international legal regulations, speed limits, and legal driving periods (tachograph time). An additional reasonable loading and unloading time is added to this transportation time to calculate how many days the job will take. This calculation can be made in days as well as hours.
[0084] Due to reasons such as road conditions, coinciding with public holidays or weekends, possible delays in unloading, or unloading at multiple points; the duration of the job can be changed according to the user's request. This calculated duration cannot be reduced below the reasonable kilometer calculated journey time in a day, which is compliant with legal regulations, speed limits, and legal driving periods (tachograph time).
[0085] - Toll Fees: If there are toll roads, bridges, or ferry crossings on the route, these toll fees can be added to the cost calculation.
[0086] These toll fees can be obtained from the database or entered as an amount for calculation.
[0087] - Current Fuel Price: It will be automatically obtained from the systems of fuel companies and recorded in the database. This current fuel price will be used in the calculations. Instead of automatic retrieval, calculation can also be done by data entry. Fuel prices may vary according to provinces and districts. It will be possible to select provinces and districts to obtain fuel prices and make calculations accordingly.
[0088] - Distance to Truck Garages at the Destination: The nearest truck garages to the destination, distances from the destination to here, and the fuel cost that will be incurred while the vehicle is empty in this distance can be shown in a list. By selecting from this list and adding this additional cost to the total result cost, a more accurate and realistic cost calculation will be made.
[0089] The calculations can be made with at least one of the inputs listed above.
[0090] Step 7: Calculation of Transportation Cost / Freight Cost:
[0091] After the data inputs provided above are made for each trip, the costs are summed up specifically for each trip. Using special algorithms and formulas, the transportation / trip cost calculation is performed.
[0092] During cost calculation; the total tax incurred from expenses subject to tax according to the country where the vehicle is used (e.g., Value Added Tax) is calculated, and the user can see the actual total expenses either excluding taxes or including taxes, if desired.
[0093] Step 8: Calculation of Transportation / Freight Price:
[0094] Based on the aforementioned transportation / freight cost calculation, the Transportation / Freight Price is calculated by multiplying with special formulas and algorithms prepared for depreciation, profit per kilometer, provinces, districts, season, climate, inter-provincial index value or values.
[0095] This index value is determined by different index values determined according to multiple criteria. These criteria and index numbers can be reduced or increased.
[0096] Indices: a) Depreciation: Depreciation can be given as an expense entry based on the market price of the vehicle, or it can be included in the calculation as a percentage. A depreciation rate will be determined based on experience, and this rate will be included in the calculation as an index. b) Profit per Kilometer Index: Profit and depreciation value may vary depending on the distance. For long distances, cargo can be transported with a low profit margin, while for short distances, a high profit margin may be demanded. Index values are determined with special formulas according to distances by evaluating these criteria. When determining the kilometer index value, the profit margin and depreciation rate are also added to the KM index value. Profit margin and depreciation rate can be separated from the KM index value. Depreciation can be added to expenses annually rather than proportionally and included in the costs. c) Provincial Index: An index value is determined separately for each province by evaluating criteria such as freight intensity, the abundance of job sites or factories, proximity to job sites or areas with many factories, traffic intensity, altitude, etc. d) District Index: A separate index value is determined for each district by evaluating criteria such as distance to the provincial center, altitude, job intensity, etc. e) Seasonal Index: Freight intensities may increase or decrease according to the season and seasonal conditions. Monthly index values are determined for provinces and districts considering the freight situation during the season. f) Climate Index: Since transportation to snowy regions is more difficult in winter months, monthly index values are determined for each province and district according to the snowfall situation. These indexes can be determined monthly, weekly, or daily. These index criteria can be chosen as desired. Instead of this climate index, special indexes can be created based on weather reports from systems sharing weather data for the destination location or locations on the route, considering the weather conditions. Similarly, special indexes can be created based on road condition data from systems sharing road condition information. g) Inter-Provincial Index: Profit margins can vary depending on the departure province or arrival province in inter-provincial transportation. Or profit margins may vary for transportation within the same province from one city to another. A separate index value is determined from province to province considering these criteria and existing data.
[0097] During the process, index values for point-to-point trips in the loads provided via the application can be determined proportionally with artificial intelligence. These index values can be used in calculations using artificial intelligence. Since each added trip will be included in the ratio, this index value will be a live and up-to- date value and will be a dynamic index that can change instantly.
[0098] With artificial intelligence, alternative routes can be suggested based on the road condition of the trip route or due to winter conditions being open, closed, or snowy, or transportation prices can be reflected by changing the index values for this route.
[0099] Ultimately, the calculated transportation price can be presented or shown to users in different categories.
[0100] As a result:
[0101] 1- The calculated shipping price can be presented to the user as "Standard Expense Shipping Price",
[0102] 2- A certain percentage / amount lower than the calculated shipping price can be presented to the user as "Slow Expense Shipping Price",
[0103] 3- A certain percentage / amount higher than the calculated shipping price can be presented to the user as "Express Expense Shipping Price",
[0104] 4- Instead of indexes on top of calculated shipping costs, a user-specific "Optional Shipping Price" can be calculated based on the profit margin entered by the user.
[0105] Users will be able to save this profit margin they define themselves to calculate shipping prices.
[0106] In this case, at least one of the results "Cost Amount", "Optional Shipping Price", Standard Expense Shipping Price", "Slow Expense Shipping Price", "Express Expense Shipping Price" can be shown to the user.
[0107] In shipping price calculation, alternatively, calculation can be made based on the number of vehicles entered by the user without leaving the choice to the user. A profit margin index inversely proportional to the number of vehicles will be included in the calculation of the shipping price.
[0108] Additionally, for the requested number of vehicles and long-term rentals; different pricing can be applied for the same routes with index-1 profit margins varying depending on the requested number of vehicles. This will enable users to see the actual costs in rentals and optimize their expenses by determining the profit margin. It is a method added based on the fact that vehicles constantly finding loads can operate with more reasonable and lower profit margins.
[0109] In the alternative use of the invention, the aforementioned cost and price calculations can also be tracked instantly. For this purpose, the vehicle tracking device added to the vehicle and / or application can be used. When the vehicle's kilometers are tracked in real-time, the cost incurred by the vehicle from the beginning of the journey until that moment will be calculated both based on distance and time. Periodic expenses will be calculated using the time and / or distance traveled, while other expenses will be calculated by proportioning the time and / or distance traveled to the entire journey. These calculated costs during the journey will be recorded instantly, daily, and / or weekly and / or monthly, and if desired during the journey, the incurred shipping price can be calculated and invoiced based on the recorded cost data before the journey ends. Expense and calculation inputs can also be made via voice command. It is possible to record and calculate by receiving input information with voice command information.
