Description

[0001] A SYSTEM AND A METHOD FOR EVENT COORDINATION USING DIGITAL INVITATIONS

[0002] EARLIEST PRIORITY DATE

[0003] This Application claims priority from a Complete patent application filed in India having Patent Application No. 202311063559, filed on September 21, 2023, and titled “A SYSTEM AND A METHOD FOR EVENT COORDINATION USING DIGITAL INVITATIONS”.

[0004] FIELD OF INVENTION

[0005] Embodiments of the present disclosure relate to the field of event management, and more particularly, a system and a method for event coordination using digital invitations.

[0006] BACKGROUND

[0007] Invitation cards hold important significance in a variety of instances, including events, special occasions, and corporate needs. Invitation cards are a way to greet and welcome a person, group or mass to attend a particular event or occasion. While invitation cards offer numerous advantages, they also come with some disadvantages.

[0008] One of the major disadvantages of the traditional invitation cards is the absence of a mechanism to confirm attendees' participation and gather necessary information from guests. This may lead to challenges for event coordinators and hosts to efficiently plan, manage, and customize events according to attendees' preferences. Once a physical invitation card is sent, hosts are left in a state of uncertainty regarding attendance. There is no way to know whether the recipients are actually planning to attend the event, at what time they may reach the event venue and the like. This unpredictability may lead to challenges, such as arranging seating and ensuring the overall smooth execution of the event. Further, traditional invitation cards often lack the means to collect additional information about attendees' preferences including dietary requirements, music preferences and the like, which might result in dissatisfaction with the event for the attendees.

[0009] Another drawback associated with traditional invitation cards is their impact on the environment. Printing invitation cards requires paper consumption. The mass production of physical cards contributes to deforestation and pollution which tends to ecological issues.

[0010] Furthermore, the cost, time and effort required to prepare and distribute physical invitation cards is more, especially for events with a large guest list that must span multiple locations.

[0011] Hence, there is a need for an improved system and method for event coordination using digital invitations which addresses the aforementioned issue(s).

[0012] OBJECTIVE OF THE INVENTION

[0013] An objective of the invention is to provide a digital platform for event planning and coordination by enabling users to create and send digital invitations.

[0014] Another objective of the invention is to generate a visual representation of the actual arrival time of the invitees for ensuring the overall smooth execution of the event by efficient planning.

[0015] Yet, another objective of the invention is providing an accurate attendance information by allowing invitees to confirm their attendance, specify the number of accompanying guests along with attendee preferences for various aspects like food, drinks, and music and the like.

The event information includes name, date, time, venue, description, theme, dress code, contact information and other relevant information of the event for customizing content for the invitation template. The dress code includes the expected attire for the event.

[0054] In an embodiment, the user may either browse and select the set of invitation templates or create a personalized invitation from scratch which allows user to incorporate their level of creativity and match the exact vision they want in the event. This may be done by inbuild designing tool or by a third-party application.

[0055] The method (300) includes generating, by a digital invitation module, a digital invitation using the event information and the invitation template in step 330.

[0056] The method (300) includes enabling, by the digital invitation module, the user to send digital invitations to the plurality of invitees in step 340.

[0057] In a specific embodiment, the digital invitation module allows the user to send digital invitations to the plurality of invitees through various communication channels, including email, text messages, WhatsApp, and similar social media platforms.

[0058] The method (300) includes sending, by a multimedia engagement module, at leastone of video and one or more photos with the digital invitation in step 350. Examples of multimedia content include a pre-wedding video for a wedding event, an individual's video message for a birthday event, an event agenda for a corporate event, and other similar media that aligns with the event's theme.

[0059] The method (300) includes providing, by the multimedia engagement module, a real-time streaming of the event for the plurality of invitees in step 360.

[0060] The method (300) includes enabling, by a response module, the plurality of invitees to respond to the digital invitation with a number of accompanying guests in step 370.

[0061] In an embodiment, the digital invitation may include an RSVP button. The RSVP button serves as a call-to-action that helps the plurality of invitees to respond to the digital invitation. When the plurality of invitees receives the digital invitation, they may easily click the RSVP button, which leads them to send their availability on the event and number of accompanying guests if they are attending the event.

[0062] In another embodiment, the digital invitation may include a quick response (QR) code, associated with each invitation. When the plurality of invitees receives the QR code, they can simply scan it using their user device, which instantly directs them to send response.

[0063] The method (300) includes generating, by the response module, recommendations for at least one of food, drinks, and alcohol based on personal preferences of the plurality of invitees in step 380.

[0064] The method (300) includes enabling, by the response module, the plurality of invitees to submit a list of favorite songs to be played in the event and arrival time of the event in step 390.

[0065] The method (300) includes generating, by a graphical representation module, a graphical representation of an expected arrival time submitted by the plurality of invitees in step 400.

[0066] The method (300) includes generating, by the graphical representation module, a visual representation of an actual arrival time of the plurality of invitees in step 410.

[0067] In an embodiment, the graphical representation and the visual representation may be a line graph for showing trends over time. The representation may display the expected and actual arrival times of attendees, allowing event organizers to compare patterns and make decisions accordingly.

[0068] The method (300) includes providing, by the graphical representation module, a final status of guests based on an analysis of the arrival time and the actual arrival time of the invitees in step 420.

[0069] The method (300) includes integrating, by a service providers integration module, a plurality of service providers through a registration process. The plurality service providers include at least one of event planners, caterers, disc jockeys, studios, decorations, resorts, and banquet halls in step 430. The method (300) includes enabling, by the service providers integration module, the user to select at least one of the plurality of service providers based on personal preferences of the user in step 440.

[0070] The method (300) includes enabling, by the service providers integration module, the user to provide ratings to the plurality of service providers in step 450. It promotes transparency and accountability, helping other users make informed decisions while selecting service providers for their own events, thereby providing event coordination using digital invitations.

[0071] Various embodiments of the system and method for event coordination using digital invitations as described above provide a digital platform for event planning and coordination by enabling users to create and send digital invitations. The graphical representation module of the system generates a visual representation of the actual arrival time of the invitees and provides a final status of guests based on an analysis of the arrival time and the actual arrival time of the invitees, thereby ensuring the overall smooth execution of the event with efficient planning. Further, the system eliminates the costs associated with printing, postage, and physical materials. Furthermore, the response module of the system helps the host to gather attendee preferences for a personalized event experience, such as food, drinks, music choices and the like. Moreover, the system reduces paper usage and waste, minimizing deforestation and pollution. Additionally, the service providers integration module facilitates the integration of various service providers, making it easier for event hosts to find and select professionals such as event planners, caterers, disc jockeys, and the like.
