A document management system (DMS) is a system used to track, manage and store documents and reduce paper. Most are capable of keeping a record of the various versions created and modified by different users (history tracking). In the case of the management of digital documents such systems are based on computer programs. The term has some overlap with the concepts of content management systems. It is often viewed as a component of enterprise content management (ECM) systems and related to digital asset management, document imaging, workflow systems and records management systems.

Printer control and document management system

A printer control and information management system is provided employing numerous individual satellite modules, and providing an enterprise-wide output system capable of receiving all types of input and redirecting of all types of output. Data can be inputted from any location in an enterprise system and coordinated into a coherent format for reporting and forms processing. Forms can be automatically generated based on the data inputted, which forms can be directed to the appropriate personnel. The system provides for notifications to the appropriate personnel in order to resolve problems which may arise from the operation of the various equipment utilized in the enterprise network system. Information can be redirected to anyone within the system, the user identifying the manner and format of the information to be presented. Thus, inbound reports can be received from different systems and outputs delivered in the format that is preferred by the user. Report recognition is provided for any application, with the ability to merge textual information with electronic forms. Additionally, the forms can be completed with bar code information to prevent inadvertent disclosure of sensitive information. Large and contiguous host generated reports can be electronically distributed to users, as well as the ability to automatically fax any type of report directly to any recipient. The system can be accessed via the Internet for ease of inputting and reviewing information at any location.

Document Security Management System

A document security management system for securely managing documents for users. The document management system comprises a document repository providing a facility for storing data files representing the documents. A key repository stores a public key of one or more encryption key pairs, each of the encryption key pairs being associated with one of the documents stored in the document repository. Each document stored in the document repository is encrypted with the public key of the encryption key pair associated with the document. A plurality of client terminals are operable to store and to retrieve the documents from the documentary repository for processing by a user. Each user is in possession of a digital certificate comprising a certificate key pair. The key repository includes the private key of the encryption key pair encrypted with the public key of the certificate key pair associated with the user. The client terminal is operable with the private key of the certificate key pair in possession of a user. The client terminal is operable to decrypt the private key of the encryption key pair using the private key of the certificate key pair of a user, and to retrieve the encrypted document from the document repository and to decrypt the document using the decrypted private key of the encryption key pair. Thus, in accordance with the present invention a two tier arrangement of private key/public key pairs is provided with a first private key/public key pair called the encryption key pair being associated with each of the documents and a second digital certificate private key/public key pair called a certificate key pair being associated with the users. A document management system according to the present invention is therefore provided with an improvement in security with respect to document management and document management security.

Workflow system and method

A workflow system that automates work processes. The workflow system uses an open architecture to support multiple platforms and includes Application Programming Interfaces (APIs) enabling applications to communicate with a workflow engine. The workflow system supports Relational DataBase Management System (RDBMS) databases and allows routing of any kind of work (forms, images, executables). In addition, its flexible architecture is designed to facilitate changes to a workflow dynamically and to support integration with an existing infrastructure.
The workflow system links software components to enable participants to work on shared data and ensures that business processes follows predetermined rules. Each task in the process is regulated such that the appropriate people have access to the appropriate data and are instructed to perform the task at the appropriate time.
A developer can use a workflow system provided client to get an application up and running relatively quickly. The workflow system provides adapters which enables quick deployment and element flexibility. Adapters have a fixed interface which allows the Document Management System ((DMS)), Directory Services (DS) and DataBase system (DB) to be changed independent of the application in contrast to other workflow systems which tie the application directly to the (DMS), DS, and DB. The adapters allow developers to attach clients of varying types and magnitude and allows developers to mix and match application elements to better serve their application. Thus, the workflow system is not tied to any proprietary (DMS), DS, or DB.

System and method for providing customized secure access to shared documents

A document management system and method. The inventive system includes a server for providing data from a stored document. Software is provided on the server for encrypting the data. A communications subsystem is included for transporting the encrypted data from the server to the client. Software is provided at the client for decrypting the encrypted data. The inventive method includes the steps of: using a client machine to access a server via a network and to request data therefrom; encrypting at least a portion of said data on said server; communicating said encrypted data from said server to said client; and decrypting said data on said client. In the illustrative embodiment, the inventive method operates under the control of an agent residing on the server. The encrypting software is a first applet residing on the server and the decrypting software is a second applet residing on the client. In the illustrative implementation, the second applet is communicated from the server to the client. Several mechanisms are included for verifying the user's identity including a digital signature, a private key and a public key. In accordance with the invention, software is included for customizing the data based on the user's access rights; providing for secure modification of the shared document; and tracking submission, access, and changes in the document.
